How This Calculator Works
Zapier prices its plans based on task consumption, not the number of Zaps you create. Every time a Zap runs and performs an action, that counts as one task. The trigger that starts the Zap is free. Filter steps that block execution are also free. Only successful action steps are billed.
Our calculator multiplies three inputs: how many Zaps you have, how many action steps each one contains on average, and how often each Zap runs per day. We multiply the result by 30 to give you a monthly total. This number determines which plan you need.
Keep in mind that these are averages. Some Zaps may have 1 step while others have 6. Some may run once a day while others run 50 times. Adjust the sliders to reflect your average usage and add a 20% buffer to account for variations.
Common Mistakes When Estimating Tasks
The most frequent error is confusing Zaps with tasks. Having 10 Zaps does not mean you use 10 tasks per month. If each of those 10 Zaps has 3 action steps and runs 5 times per day, you are consuming 4,500 tasks per month (10 x 3 x 5 x 30). That is well beyond the Professional plan limit of 2,000 tasks.
Another common mistake is forgetting about volume spikes. If you run an e-commerce store, seasonal sales periods can double or triple your normal automation volume. A Zap that processes orders will run much more frequently during peak periods. Build in a buffer so you do not have all your Zaps paused mid-campaign.
Finally, audit your existing Zaps regularly. Many users set up automations and forget about them. Old Zaps that still run in the background consume tasks just like your active ones. Disabling unused Zaps can save you hundreds of tasks per month and potentially keep you on a lower plan.
What Happens When You Exceed Your Task Limit?
When you hit your monthly task allowance, Zapier either pauses all your Zaps until the next billing cycle or automatically upgrades you to the next tier. The default behaviour depends on your account settings. Check your Zapier account under Settings to see which option is active.
If cost control matters to you, disable auto-upgrade. Paused Zaps are inconvenient, but an unexpected plan upgrade from Professional to Team adds $30/mo to your bill. You can always manually upgrade when needed.
For high-volume users consistently exceeding the 2,000-task Professional limit, consider requesting Enterprise pricing from Zapier. Custom plans often provide better per-task rates than standard plans with overage charges. Alternatively, explore cheaper alternatives that may handle your volume at a fraction of the cost.
Quick Tips to Reduce Your Task Count
- 1Use filters generously. Filters do not count as tasks. A filter that blocks 40% of runs on a 3-step Zap can cut your task consumption nearly in half.
- 2Combine steps where possible. If two steps both update the same app, look for a single step that handles both updates.
- 3Use webhooks as triggers. Webhooks are instant (no polling delay) and can reduce unnecessary task consumption from trigger-then-filter patterns.
